In the Rep’s Hand

The nearest lead is rarely the cheapest call.

Standing in the street the rep gets every unvisited lead in their patch, nearest first — and against each one, how far it would pull them off the route they are already driving.

  • Two distances, not one — how far the lead is from the rep now, and how far off the nearest stop on today’s route. A shop 4 km away but 300 m off the next stop is nearly free, and nothing else on the screen says so
  • Tap it and it’s on the round — the stop drops in after the last completed one, with its own ETA, badged Prospect so it never reads as a store visit
  • Filtered by channel — pharmacy, spaza, forecourt: your own categories, straight off the spreadsheet, with nothing to configure
  • A lead they just walked past — reps capture new prospects on the spot. Their GPS is the location, and categories are offered rather than typed, so one channel doesn’t become three spellings
  • Duplicates refused at the door — anything within 120 m is shown back to the rep first, existing stores included, so a shop you already sell to can’t sit in the figures as an uncalled opportunity
  • A real visit record — the prospect survey, photos, GPS and times, exactly as a store visit. No order tile, because a lead has no price list — refused on the server too, not just hidden in the app
  • Take on as a customer — convert the lead where the rep is standing and take the first order on the same visit. The office fills in the ERP account number afterwards

Prospecting is part of Field Sales — it is order-taking work, so a planning-only division never sees it.

Prospect Coverage

Which leads have been called on — and which haven’t.

A name, a pin and a note about why it’s worth a call is enough to upload. ORBIT works out which rep each lead belongs to, and turns the list into a coverage picture you can hold someone to.

  • No allocation step — a lead belongs to whichever rep owns the nearest store in the live plan. Nothing to assign, and every lead reaches exactly one rep — which is what makes “outstanding by rep” add up
  • Called versus outstanding, per rep, filterable by any combination of channels, with an Excel export of every prospect call behind it
  • Partial uploads are safe — a sheet of corrected coordinates updates coordinates and leaves your categories, notes and phone numbers alone
  • The field’s record can’t be overwritten — who called and when is stamped by ORBIT and is not an import column, so re-uploading the source list can never un-visit a lead
  • On the tactical map — switch the lead layer on over your routes and the white space in a territory is simply visible
  • Conversions stay traceable — the call that won the customer is kept, survey and all, and the new store is flagged from prospect until the office has completed its details

See what your rep saw.

A visit that comes back as "done" tells you nothing about the shelf. Reps photograph what they find and answer the questions you set — offline, in the store, without a second app.

  • Photos of the shelf, the display, the problem — captured offline, with GPS and a timestamp
  • Reviewed before they send — the rep views, comments on or deletes each photo on the phone first
  • A cap you control — per division, or per store type, so a key account can warrant more evidence than a kiosk
